Overview #
DnXT Suite uses a role-based access control (RBAC) system to determine what each user can see and do. Your administrator assigns you a role, and that role controls which modules, features, and actions are available to you. This guide explains how roles and permissions work across the DnXT Suite.
How Roles and Permissions Work #
The permissions system has three layers:
- Roles — Named groups of permissions (e.g., “Publisher Admin”, “Reviewer User”, “Read Only”)
- Permissions — Individual capabilities (e.g., “Create Dossier”, “Delete Document”, “View Audit Trail”)
- Users — Each user is assigned one role that determines their complete access level
What Permissions Control #
Permissions control visibility and access at multiple levels:
Module Access #
Entire sidebar menu items can be shown or hidden based on your permissions. For example:
- Dossier Library — Requires the “View Dossier Library” permission to appear in the sidebar
- Global Search — Requires the “View Document Library” permission
- Sync Dossier — Requires the “Sync Dossier” permission
- Template Library — Requires the “View Template Library” permission
- Plan Library — Requires the “View Plan Library” permission
Feature Actions #
Within each module, individual actions may be restricted. For example, you might be able to view the Dossier Library but not create or delete dossiers. Common permission-controlled actions include:

UI Behavior When Permissions Are Restricted #
When you don’t have permission for a feature, DnXT handles it gracefully:
- Hidden menu items — Sidebar links for inaccessible modules don’t appear at all
- Disabled buttons — Toolbar buttons for restricted actions appear grayed out
- Missing context menu options — Right-click menus only show actions you’re authorized to perform
Common Role Configurations #
While your organization may define custom roles, here are typical role configurations:
Full Access / Admin #
- Access to all modules and features
- Can create, edit, and delete any item
- Can manage users, permissions, and system settings
- Can publish submissions and run validation
Standard User #
- Access to core modules (Dashboard, Dossier Library, TOC Editor)
- Can create and edit dossiers and documents
- Can validate but may not publish submissions
- Cannot access Administrator functions
Read-Only / Viewer #
- Can view dossiers, submissions, and documents
- Cannot create, edit, or delete any items
- Useful for auditors or stakeholders who need visibility without edit access
Checking Your Current Role #
To see your assigned role:
- Click your username in the top-right corner
- Your role name is displayed under your name in the user dropdown panel
- For more details, go to My Account > Profile where your role is listed
How Administrators Manage Permissions #
If you’re an administrator, you can manage roles and permissions in the DnXT Administrator app:
- Navigate to Permission Management in the left sidebar
- Select a role from the roles list
- Check or uncheck individual permissions to customize what that role can do
- Click Save to apply changes — they take effect the next time users with that role log in

FAQ #
Why can’t I see the Dossier Library in my sidebar? #
Your role likely doesn’t include the “View Dossier Library” permission. Ask your administrator to check your role’s permissions in the Permission Management module.
Can I have different roles in different applications? #
Roles are shared across all DnXT applications. However, permissions are application-specific — a role can grant full access to Publisher while restricting access to Admin features.
Do permission changes take effect immediately? #
Changes take effect the next time the affected user logs in or refreshes their session. Active sessions may continue with the old permissions until they expire or the user logs out and back in.
