Submission Workflow and Status

Every submission in Reviewer has a status that tracks where it is in the review lifecycle. Statuses move through a defined workflow — from Draft to In Review to Approved (or other outcomes). This guide explains how statuses work and how to advance submissions through the review process.

Understanding Submission Status #

When you open a submission in the TOC view, the status badge appears at the top of the workspace, next to the submission name. The badge is color-coded:

Status Color Meaning
Draft Grey Submission has been imported but review has not started
In Review Orange Actively being reviewed by one or more reviewers
Approved Green Review is complete and the submission has been approved
Published Blue Submission has been finalized and published
Rejected Red Submission was not approved and may require rework
Note: Your organization may have custom statuses beyond these defaults. The specific statuses and transitions available depend on the workflow configured by your administrator.

How to Change a Submission’s Status #

  1. Open the submission in the TOC view (Dossier Library → double-click the dossier).
  2. Look for the status badge at the top of the workspace.
  3. Click the Change Status button (exchange icon) next to the badge.
  4. A dropdown menu appears showing the available transitions from the current status. For example, from “Draft” you might see “Start Review” or “Assign Reviewer.”
  5. Click the transition you want. The status updates immediately.
Important: You can only see transitions that are valid from the current status AND that your role has permission to perform. If “Change Status” does not appear, your role may not have workflow permissions for this submission.

Submission Lock Status #

The lock icon next to the submission name indicates whether the submission is locked:

  • Locked (lock icon visible) — The submission is read-only. You can view documents but cannot add annotations or change the status. Submissions are typically locked after approval.
  • Unlocked (no lock icon) — The submission is editable. You can add annotations, change status, and modify metadata.

Viewing Submission Details #

Click the Submission Details button at the top-right of the TOC view to see the submission’s metadata — sequence number, submission type, date, status history, and any workflow notes.

Click Dossier Details (next to Submission Details) to see the parent dossier’s information — application name, type, region, and all associated submissions.

Status History #

Every status change is logged with a timestamp and the user who made the change. This creates an audit trail of the review process. To see the status history:

  1. Click Submission Details at the top of the TOC view.
  2. Look for the Status History or Workflow History section.
  3. Each entry shows: who changed the status, when, from which status, and to which status.

Common Workflow Patterns #

Simple Review #

Draft → In Review → Approved

The most common pattern. A submission is imported (Draft), assigned for review (In Review), and approved after review is complete.

Review with Rework #

Draft → In Review → Needs Rework → In Review → Approved

If a reviewer finds issues, the submission can be sent back for rework, then re-reviewed.

Multi-Stage Review #

Draft → Primary Review → Secondary Review → QC Review → Approved

Large organizations may have multiple review stages with different reviewers at each stage.

Tip: The exact workflow depends on what your administrator configured. If you are unsure which transitions are available, click Change Status to see your options. If the button is greyed out, you may need to complete other steps first (like resolving all annotations).
